Subject:           Updates to the Office Codes for Correspondence and Records

 

Due to the State Office restructuring in October 2018, some Office Codes have changed and/or have been updated. These recent changes are reflected on the attached document “BLM Arizona Organizational Codes and Office Codes.”

 

In order to facilitate a consistent approach to preparing correspondence, all correspondence and similar records shall have the appropriate Office Code (example 9520) in the upper left hand corner of the correspondence document in conjunction with the Subject Function Code (example shown above 1202/1541). The Office Code consists of the last four digits of the Organization Code and is displayed in column 3 of the attachment in bold lettering. This code is entered directly behind the Subject Function Code in parenthesis.

 

In addition, the letterhead or heading of the correspondence already identifies the document as an Arizona record, so “AZ” is not used with the Office Code; only the four digit Office Code is required.
