Subject: Implementing the Bureau’s Policy for Access to the Safety Management Information System (SMIS) for Safety Personnel
Program Area: Safety and Occupational Health
Purpose: Standardizing Bureau policy for granting safety personnel access to SMIS.
Policy/Action: This policy establishes an administrative procedure for permitting access for new safety personnel to SMIS. The process also screens out unauthorized users. The access process is completed in three steps:
(1) The State/Center Safety Managers are responsible for requesting access rights for newly appointed SMIS users from the SMIS Administrator. The request must include the name, office telephone number, fax number, email, organizational codes and review level of the new SMIS user.
(2) After this information is provided to the SMIS Administrator, the new user must contact the SMIS Administrator and verbally provide his/her social security number and a password. The information is necessary to set up the new user’s account. When the account is set-up, the new user and the Safety Manager will be contacted by email verifying the account has been established.
(3) If the new user encounters any problems with SMIS, he/she should advise their state safety manager and then contact the SMIS Administrator. If the SMIS Administrator cannot rectify the problem, the Denver (SMIS) Administrator needs to be notified and a request for assistance submitted.
Timeframe: Effective immediately, this new protocol will be used for safety personnel SMIS access.
