Purpose: The purpose of this Instruction Memorandum is to announce planned program meetings for FY07. This IM also establishes a policy that agendas will be distributed via official directive for all State Office-initiated meetings, trainings, or workshops especially those which would require Field Office travel expenditures
Policy/Action: This IM announces the major non-fire Montana/Dakotas statewide meetings/workshops that are planned for FY07. In light of budget considerations and in an effort to eliminate unnecessary travel, all proposed meetings were screened to ensure that only those with a compelling purpose were carried forward for planning and implementation. Attached are the draft agendas for those meetings/workshops. Please direct your comments and questions regarding the proposed meetings to the program lead coordinating the meeting. If there are important topics that warrant a statewide workshop or meeting that would not fall within any of these agendas, please contact the appropriate Deputy State Director for either Support Services or Resources.
While these meetings have been deemed to have compelling purpose and obvious benefit, we realize they must also have adequate attendance to make them worthwhile. Managers will still need to prioritize the use of the travel budgets. To gauge whether these meetings will in fact have adequate attendance, each Field Manager is asked to respond with the number, and names/positions if known, of the attendees for each meeting.
There are numerous, less formal, trainings and meetings which generally occur throughout the year. It is imperative that every expenditure of time and dollars is as cost-effective as possible. Therefore, to further assist managers in planning and prioritizing their travel expenditures, all meetings, workshops and training initiated by the State Office which would require Field Office travel expenditures will be announced via Information Bulletin including a draft agenda.
Timeframe: Please send these responses to Theresa Hanley, Deputy State Director for Resources, via e-mail by March 21, 2007.
Budget Impact: This information about planned meetings and the policy of announcing State Office- initiated meetings, trainings, or workshops should assist managers in planning and prioritizing travel expenditures for their office.
Background: Statewide meetings and workshops are necessary on a periodic basis to train and inform resource specialists on program policies and news. Advance planning is necessary to help managers prioritize travel expenditures. Additionally, there is a present requirement to request WO approval for meetings with 30 or more participants traveling to attend.
